Privacy Policy

AI Datacenter LLC ("AI Datacenter", "we") designs, builds and operates AI infrastructure. This policy explains what personal data we collect through aiedatacenter.com and our sales process, why we collect it, who we share it with, and the choices you have. It applies to visitors, prospective customers, partners and job applicants.

1. Data We Collect

We collect only what we need to respond to you and run the business:

  • Contact and company details you submit through the quote form, chatbot, careers applications or email (name, work email, phone, company, role, project requirements).
  • Usage data collected automatically: IP address, device and browser type, pages visited, referring URL and UTM parameters, time on page, and session replays of your interactions with the site.
  • Cookies and similar identifiers used for analytics, lead attribution and remembering your preferences.
  • Business records created during a project: contracts, site data, correspondence and invoices.

2. How We Use It

We use personal data to:

  • Respond to enquiries, prepare quotations and deliver contracted services.
  • Attribute leads to campaigns and understand how the site is used so we can improve it.
  • Send occasional engineering notes and product updates where you have opted in — every message includes an unsubscribe link.
  • Process job applications, together with our hiring partner Hirelith.
  • Meet legal, tax, export-control and security obligations.

3. Legal Bases

Where GDPR or UK GDPR applies, we rely on: performance of a contract or pre-contract steps (quotes, delivery); legitimate interests (site security, analytics, B2B marketing to business contacts); consent (non-essential cookies, newsletters); and legal obligation. You may withdraw consent at any time without affecting prior processing.

4. Cookies, Analytics & Session Replay

Essential cookies keep the site working and remember form state. Analytics and session-replay tools record page paths, clicks and scrolls to help us fix usability problems; keystrokes in form fields are masked. Non-essential cookies are set only after you accept them in the cookie banner, and you can change your choice at any time via "Cookie settings" in the footer or your browser controls. We honour Global Privacy Control (GPC) signals.

5. Sharing & Processors

We never sell personal data. We share it only with:

  • Service providers acting under contract — CRM, email, analytics, session replay, cloud hosting and e-signature vendors — bound to process data only on our instructions.
  • Hirelith, our recruitment partner, for applicant data.
  • Technology and construction partners when needed to scope or deliver your project, under NDA.
  • Professional advisers, regulators and law enforcement where legally required.

6. International Transfers

Our systems are hosted in the United States. Where data originates in the EEA, UK or Switzerland we rely on Standard Contractual Clauses, the UK Addendum or the Data Privacy Framework, as applicable, and apply supplementary safeguards.

7. Retention

Enquiry and lead data is kept for 24 months after last contact unless you become a customer. Customer and project records are retained for the contract term plus 7 years for tax and warranty purposes. Analytics data is aggregated or deleted after 14 months; session replays after 90 days. Unsuccessful applicant data is deleted after 12 months unless you ask us to keep it.

8. Security

Data is encrypted in transit (TLS 1.2+) and at rest, access is role-based with MFA, and processors are reviewed for SOC 2 or ISO 27001 assurance. No method is perfectly secure; if a breach affects you we will notify you and regulators as the law requires.

9. Your Rights

Depending on where you live, you may have the right to access, correct, delete or port your data, object to or restrict processing, withdraw consent, and opt out of targeted advertising or "sale/sharing" (we do neither). California residents may also request to know what we collect and will not be discriminated against for exercising rights. Email privacy@aiedatacenter.com; we respond within 30 days (45 under CCPA) and may need to verify your identity. You may also complain to your local supervisory authority.

10. Children

The site is intended for business users. We do not knowingly collect data from anyone under 16; if you believe we have, contact us and we will delete it.

11. Changes

We will post any material changes here and update the effective date. Where a change significantly affects how we use your data we will notify you by email where we have it.
